Tenancy Management
We liaison between the landlord’s agent and tenant to solve any problems and find a way to satisfy all parties, including eliminating language or cultural barriers and maintaining good relationships. This can also benefit the company when negotiating at the lease term conclusion or termination.
Our specially organized tracking system and strict standard for documentation, which includes; coordination of critical maintenance issues throughout the contract term, monitoring and executing lease renewals, policy consultation and providing client activity status reports, ensure that the job is completed effectively.
I.New Lease
- Obtain or list employee requests, help to real estate agents find a suitable property.
- Submit lease application forms to real estate agents.
- Negotiate terms and conditions on behalf of employees and companies.
- Check lease contracts and prepare paperwork.
- Attend a move-in inspection and document the condition, including taking photos.
- Make an initial payment for the lease contract.
Ⅱ.Lease Renewal
- Provide notice 3 months prior to the expiry of the lease and obtain company’s approval to renew.
- Confirm employee desires to renew after receiving a renewal request from the company.
- Check lease renewal conditions.
Negotiate rent reduction, or maintenance requests, etc upon renewal on behalf of employees and the company.
- Check lease renewal contracts and prepare paperwork.
- Make a payment for the renewal if any is required.
Ⅲ.Lease Cancellation
- Provide a notice to Landlords to cancel leases on behalf of employees and the company.
- Arrange departure matters with employees.
Arrange matter with movers
Request utilities cancellation and invoice settlement.
Arrange mail forwarding (within Japan)
Inform about canceling telephone, internet, cable TV, mobile phones services, etc.
Arrange dispose of unwanted furniture
- Coordinate move-out inspection matters
- Attend move-out inspection and document the condition, including taking photos
- Check restoration/cleaning costs and negotiate on behalf of employees and the company if necessary.
- Arrange for security deposit return from Landlords to the company.
Ⅳ.During the lease term
- Attend to complaints and problems related to properties.
- Communicate with Landlords and property management companies on behalf of employees and the company.
- Changing the names on a lease contract due to occupational changes.
- Other arrangement in regards to lease contracts as necessary.
Ⅴ.Monthly Reports
Reporting format can be tailored to the company’s request.
e.g.
- Property Portfolio
Report for lease contracts, may be updated at anytime and will be submitted at the end of every month.
- Residential Incident Report
Incident reports include maintenance requests and other incidents occurring within that month.
